Board Descriptions
The responsibilities of president are to oversee all the functions of the organization. This includes but is not limited to making sure things are done right and on time, making sure events stay within the budget, contacting speakers, organizing and running the meetings. The president is in charge of listening to all proposals and giving feedback.
The president's role is come up with new ideas and ways to improve the organization. The ideal person should be someone who is creative and innovative. The president should be able to lead people and delegate work.
I personally believe that being president is very rewarding. Besides going out to dinner and having the opportunity to go to conferences. I believe that it is a great resume builder. Also by being president you have the chance to work with lots of fun and interesting people and have a chance to motivate and lead fellow members. The best part about being president is all the networking opportunities you have from creating the schedule. Vice President automatically becomes president the following semester and as VP you are responsible for creating the schedule. I highly recommend running for president if you are dedicated to making a difference and want to make yourself a better leader and team player. - Schedule Meet the Faculty dinner
- Call restaurant 2-3 weeks before event to set up where it will be held, when it will be held, and what type and how much food to have.
- Schedule Meet the Faculty bowling
- Schedule at the Huskie Den in the Holmes Student Center
- Call a 1-2 weeks ahead of time to reserve the proper amount of lanes
- Make sure that there will be snacks and beverages there
- Meet with Professor Goldstein and the FMA President once a week
- This usually takes place on either a Tuesday or Thursday
- Meeting consists of events happening within FMA and how to better improve upon current policies, events, etc.
- Excellence in Teaching
- Vice President in the fall semester is in charge of this
- This is due by early February and must be started late in the fall semester
- You can compile individuals to form a committee to help on this project
- If an individual helps on this project then he/she can't be on the Dean's Student Advisory Board and therefore can't vote on the presentation
- Meet the Firm
- This affects the Vice President in the spring semester more than in the fall
- Contact employers interested in Finance majors
- Send out a “Save the Date” email as well as the actual contract needed to attend the event
- Contact must be kept throughout the summer to ensure that we will deliver the right number of companies for the right number of students
- Reserve a room on campus (Duke Ellington Ballroom works best)
- You will work along with the president for the fall semester on Meet the Firm
- Form a committee to help with the detail plans (beverages, food, tables, etc.)
- Schedule speakers for when you take over as President the next semester
- Professor Goldstein and many of the faculty have plenty of contacts for potential speakers
- Job Fairs and Internship Fairs are good places to recruit speakers
- Alumni of Northern Illinois University are also potential speakers
- Assume the responsibilities of President if he/she is unable to fulfill his/her job
- Lead meeting if president is unable to attend
- Take speakers out to dinner if president is unable to attend
- Participate in Fundraising and Community Service
- just because you're the Vice President doesn't mean you can slack off
- Set an example for the other members of FMA
- Be a Leader
- At the beginning of the semester you must go to TCF and get the previous treasurer's name off of the account and get your name put on
- Also at the beginning of the semester, discuss a proposed budget with each committee member and combine all information into one comprehensive budget
- Maintain a current and accurate checking account throughout the semester
- Update the budget as necessary throughout the semester
- Make an income statement and general ledger at the end of each month
- Regularly notify board members of the account balance and hand out copies of the updated budgets, income statement, and general ledger
- Make certain that all expenses have been paid for and all checks have been deposited in a timely manner
- Purchase a gift for the guest speakers
- Make necessary arrangements for socials; price pizzas, locations, etc.
- Give support to the rest of the board members
- Keep all receipts, bank statements, any paper documents
- At the end of the year, be sure that all persons have been reimbursed and all money has been received
- Before handing the materials in, be sure that the checking account and checkbook balance for the treasurer next year
- The Vice President of Fundraising shall be responsible for organizing more than one fundraising event.
- The dates and times for these events should be determined prior to the first meeting of the term.
- The VP of Fundraising must contact the appropriate people at Career Services to set up volunteers to help work the Internship and Job Fair; concurrently he or she is responsible for motivating FMA members to volunteer for both fairs.
- He or she must also continue the weekly raffle to ensure that other members of FMA are allowed a chance to A) Win money or B) Have dinner with a Guest Speaker.
- The End of Year Raffle is a major part of fundraising, which requires the VP of Fundraising to motivate members to get donations as well as sell raffle tickets.
- It is the VP of Fundraising?s job to work with the VP of Community Service to get the member?s points up.
- The VP of Fundraising is responsible for distributing points to the member?s who participated in events; he or she is free to keep or change the current point structure and can add more fundraising events as he or she sees fit to do so.
- Because FMA is not funded by NIU the more money that is raised the better FMA will do year after year.
- Collect and distribute the minutes of the board of directors' weekly meetings.
- Help coordinate a "job shadow program" with the help of an NIU Executive Club representative.
- Work with the Vice President of Technology to make sure the FMA web site is up to date with the correct times and information of events.
- Help the other members on the board of directors as the need arises.
- The Vice President of Membership is responsible for promoting and increasing the number of members for the Financial Management Association.
- Duties for promoting membership shall include: speaking in front of UBUS 310 and all other junior/senior level courses.
- Assist the other board members in deciding activities that would not only promote FMA's purpose but also encourage students to join FMA.
- The Vice President of Membership is responsible for keeping track of all current and past members and their information located on an Excel spreadsheet.
- It is necessary to have all members sign an attendance sheet upon arriving at the regular meetings. This allows attendance points to be awarded.
- The Vice President of Membership also enters in points awarded on the spreadsheet from the Vice Presidents of Fundraising and Community Service.
- Upon awarding the points, the Vice President of Membership works concurrently with the Vice President of Technology by forwarding the spreadsheet so it can be placed on the web site.
- The Vice President of Membership must also assist his/her fellow board members whenever necessary and/or possible.
- The Vice President of Community Service shall be responsible for organizing more than one community service event every semester.
- The dates and times for these events should be determined prior to the first meeting of the term (i.e. Informational Meeting). This is a very key point to the position. The officer MUST contact each person that is tied to each activity to inform them that our members will be volunteering to dedicate their time and effort for their cause.
- The officer must not only attend each FMA meeting, but also each FMA Board Meeting. The officer must work also with the Vice President of Fundraising to promote Active and Outstanding Membership to all the FMA members, as well as supporting each and every officer for their specific acidities. (i.e. working together as a team to promote membership and FMA recognition)
- The officer must turn in a budget at the beginning of the semester to the Vice President of Finance for any expenses regarding the promotion of Community Service or other miscellaneous FMA activities
- The officer must also encourage HIGH influence for ALL board members to participate in each Community Service activity.
- During the Fall Semester, the officer should maintain the following community service activities; Head-Start Agency, Meals on Wheels, Safe Passage, United Way, Habitat for Humanity, and Barsema Hall Clean-Up.
- During the Spring Semester, the officer should maintain the following community service activities; Head-Start Agency, Meals on Wheels, Safe Passage, Tax Assistance Program, NIU Relay for Life, and Barsema Hall Clean-Up.
- During BOTH semesters, the officer should maintain the dictation over Committee Chairs for each activity available and keep up to date, WEEKLY, on community service points for each member. The officer must email the Vice President of Membership weekly of updated points to be posted on the web site, in order to show members their status towards Active and Outstanding Membership.
- At the end of every semester, the officer must sit with the Vice President of Membership and the Vice President of Fundraising to compute the final tally of points to award FMA members their Active and Outstanding Membership, as well as the FMA scholarship to the #1 Outstanding Member of the Financial Management Association, NIU Chapter.
- Maintain/Update/Create web pages for the FMA Web Site
- Knowledge of: HTML, XML, CSS, and/or ASP is a MUST.
